Information We Collect
We collect the categories of information below, either directly from you, from your references, from background check providers (where used), from recruiting platforms and agencies, or automatically through our careers page.
What We Collect and Why
- Identity and contact information: Name, mailing address, email address, phone number. To communicate with you about your application and the hiring process.
- Application materials: Resume/CV, cover letter, portfolio, writing samples, answers to application questions. To evaluate your qualifications and fit for a role.
- Professional and employment history: Prior employers, job titles, dates of employment, references. To assess experience and to verify references, where applicable.
- Education and credentials: Degrees, certifications, licenses. To confirm qualifications relevant to the role.
- Interview and assessment records: Interview notes, scorecards, work samples, test or assessment results. To make consistent, documented hiring decisions.
- Eligibility and background information: Work authorization status, background check results, verification of credentials (where used and where legally permitted). To meet legal requirements and confirm eligibility to work.
- Voluntary demographic information: Self-identified gender, race/ethnicity, veteran status, disability status, if you choose to provide it. For voluntary equal employment opportunity reporting; never used in hiring decisions.
- Technical information: IP address, device and browser type, how you found our careers page. To operate and secure our careers site and understand application sources.
How We Use Your Information
We use candidate information to:
• Evaluate your application and qualifications against open roles
• Communicate with you about your application, interviews, and hiring decisions
• Conduct reference and background checks where applicable and legally permitted
• Verify your identity and eligibility to work
• Assess and improve our recruiting process, including tracking application sources
• Maintain records to comply with recordkeeping and equal employment opportunity obligations
• Consider you for other open roles that may be a fit, where you have consented to being kept on file
• Protect against fraud, unauthorized access, and misuse of our systems
Who We Share Your Information With
We do not sell your personal information. We share candidate information only as needed to run our recruiting process, including with:
• Recruiters, hiring managers, and interviewers involved in evaluating your application
• Applicant tracking system and recruiting software providers who process data on our behalf
• Background check, reference verification, or assessment vendors, where used
• Professional advisors, such as legal counsel, where necessary
• Government agencies, where required by law or in connection with a legal process
• A successor entity in connection with a merger, acquisition, financing, or sale of assets
Any third party that processes candidate information on our behalf is contractually required to protect it and use it only for the purposes we specify.
Data Retention
We retain candidate information for as long as needed to evaluate your application, to consider you for future roles you have agreed to be considered for, and to meet our legal and recordkeeping obligations.
Because we hire remotely across the United States, we apply a single retention period set to the longest any state requires: four years from the date the record was created or the date of the hiring decision, whichever is later. This meets the four-year requirement under California law and exceeds the one- and two-year minimums under federal EEOC and OFCCP rules and other state laws.
If a charge, claim, audit, or lawsuit involving your application is filed, we retain the related records until that matter is finally resolved, even if that extends past four years. Background check results and voluntary demographic information are kept separately from your application file and are deleted at the end of the retention period.
Your Rights
Wherever you live in the United States, you have the following rights regarding your personal information:
• To confirm whether we process your information and to access a copy of it
• To correct inaccurate information
• To delete your information, except records we are required to retain
• To obtain your information in a portable format
• To limit our use of sensitive information and to withdraw consent you previously gave
• To be free from discrimination or retaliation for exercising any of these rights
weavix does not sell candidate information and does not share it for targeted or cross-context behavioral advertising.
To exercise a right, contact us using the information in Section 08. We will confirm receipt within 10 business days, verify your request against your candidate record, and respond within 45 days, which we may extend once by an additional 45 days with notice to you. An authorized agent may submit a request on your behalf with your written permission. There is no fee.
If we deny your request, we will tell you why and how to appeal. We will respond to an appeal within 45 days, and if we uphold the denial we will tell you how to contact your state attorney general or privacy regulator.
Automated Decision-Making
weavix does not use artificial intelligence or automated tools to screen, score, or decide on candidates. Every application is reviewed by a member of our recruiting team.
Data Security
We maintain administrative, technical, and physical safeguards designed to protect candidate information against unauthorized access, disclosure, alteration, or destruction.

Changes to This Notice
We may update this notice from time to time to reflect changes in our practices or for legal reasons. The “Last updated” date at the end of this notice indicates when it was last revised.
